ResidentSpot Privacy Policy

This Privacy Policy describes how ResidentSpot collects, uses, stores, and shares personal information in connection with resident parking management, overnight guest parking, billing, and account administration.
1. Information We Collect
We may collect the following categories of information:
- account information such as your name, email address, password, phone number, address, and unit number;
- property and residency information such as your apartment complex and related account identifiers;
- vehicle information such as license plate number, make, model, color, year, and vehicle nickname;
- guest pass information such as guest name, vehicle details, and overnight parking dates;
- billing information such as subscription status, transaction records, invoice history, and limited payment metadata provided by our payment processor;
- technical and usage information such as device, browser, IP address, timestamps, and activity logs associated with use of the platform.
2. How We Collect Information
We collect information directly from you when you create an account, register vehicles, purchase overnight guest passes, update your profile, communicate with support, or otherwise use ResidentSpot.
We may also receive information from participating apartment complexes, property managers, payment processors, and technical service providers that support the operation of the platform.
3. How We Use Information
We may use personal information to:
- create and administer tenant and administrator accounts;
- manage vehicle registration and overnight guest parking access;
- process recurring and one-time charges and maintain billing records;
- enforce community parking rules and support property operations;
- communicate with you about account activity, billing, updates, and support matters;
- monitor system performance, investigate fraud or misuse, and improve platform functionality;
- comply with legal obligations and protect the rights, safety, and property of ResidentSpot, housing providers, and users.
4. How We Share Information
We may share personal information with:
- your apartment complex, property manager, or housing provider so they can administer parking operations and enforce community rules;
- payment processors and billing partners to process transactions and manage subscription activity;
- hosting, infrastructure, analytics, and support vendors that help operate ResidentSpot;
- law enforcement, regulators, courts, or other third parties when required by law or when reasonably necessary to protect legal rights or safety;
- successors in connection with a merger, acquisition, financing, reorganization, or sale of assets.
We do not sell personal information for monetary consideration.
5. Payment Information
Payment card data is processed by our third-party payment processor. ResidentSpot does not store full payment card numbers or full card security codes on its own servers. We may retain limited billing metadata, such as transaction IDs, invoice data, customer IDs, subscription IDs, amounts charged, and payment status.
6. Data Retention
We retain personal information for as long as reasonably necessary to provide the service, maintain required business and billing records, enforce parking rules, resolve disputes, comply with legal obligations, and protect the platform.
Retention periods may vary depending on the type of information, your relationship with the participating apartment community, and legal or operational requirements.
7. Data Security
We use reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, misuse, or alteration. No system, however, can guarantee absolute security, and you use the service with that understanding.
8. Your Choices and Rights
Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or limitation of use of certain personal information. You may also have the right to object to certain processing or request a copy of your information.
Requests may be directed through your property manager or the ResidentSpot contact designated by your apartment community. We may need to verify your identity before processing certain requests.
9. Cookies and Similar Technologies
ResidentSpot and its service providers may use cookies, local storage, session technologies, and similar tools to maintain login state, secure the platform, remember preferences, improve performance, and understand how the service is used.
10. Children’s Privacy
ResidentSpot is intended for adult residents and authorized users of participating housing communities. The service is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13.
11. Cross-Border Processing
Your information may be processed and stored in the United States or other jurisdictions where ResidentSpot or its service providers operate. Those jurisdictions may have data protection laws that differ from those in your place of residence.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal obligations, or service offerings. Updated versions may be posted within the platform, and the revised effective date will be shown at the top of the policy.
